The cleaning business dashboard: bookings, cleaner costs, invoices and cash without five spreadsheets

A useful owner view separates work booked, money received, money still due, recorded cleaner costs and forecasts—then lets the owner open the record behind every total.

The owner’s problem: the numbers exist, but they do not answer the same question

The bank shows cash already moved. The calendar shows work still to happen. A spreadsheet holds cleaner costs, while overdue invoices are remembered only when cash gets tight. Adding those figures together creates a confident-looking number with mixed meanings. The owner needs one operating picture that separates facts from forecasts and links every total back to the job, invoice or cleaner record behind it.

What should an owner dashboard answer before the day starts?

Use these questions even if your business still runs on a calendar and spreadsheets. The aim is not more charts; it is a short, repeatable check that leads to the right record and the right next action.

  • What needs attention today, including unassigned work or overdue invoices?
  • What work is confirmed ahead, and what is only a request?
  • What customer money is recorded as received, outstanding or booked ahead?
  • What cleaner gross pay is recorded, approved, paid or still outstanding?
  • Which recurring forecasts are based on saved prices, hours and rates—and which costs are missing?

How the Live EcoBroom AI owner workflow connects the records

This workflow is verified against the current booking, owner home, Finance and Invoices implementation. Willow & Shine Cleaning Ltd, Demo Cleaner A, Demo Property and WS-1042 are explicitly fictional demonstration data.

  1. 1A quote or manually added job becomes the checked booking record for WS-1042, with its agreed service, price, date and customer.
  2. 2The owner confirms the booking, chooses the cleaner and checks the job context. EcoBroom AI does not assign the cleaner automatically.
  3. 3After the visit, the owner records completion, actual hours and the calculated gross cleaner amount, then checks its pay status.
  4. 4Finance separates received revenue, outstanding customer money, booked-ahead work, recorded cleaner pay and recurring forecasts instead of treating them as one cash number.
  5. 5Invoices keep issue date, due date, total, delivery history and status attached to the booking. The owner can open the source record before following up or marking it paid.
  6. 6The owner home highlights today’s jobs and items needing attention; Finance and Invoices provide the detailed operational trail.

Invoice creation and invoice email are two separate owner settings

Live today: the owner can keep invoice creation on Manual approval, or choose Automatic on job completion. Automatic email is a separate switch and runs only when a completed job creates an invoice and a customer email exists. The owner remains responsible for the settings, customer details, invoice contents, delivery history and payment status.

This is an operating view—not a bank feed, payroll run or accounting ledger

EcoBroom AI records the statuses the owner saves and calculates operational totals from those records. It does not prove that money moved, reconcile a bank account, submit VAT or tax, run PAYE, National Insurance or pensions, or replace accounting advice. The bank, payroll process and accounting records remain the authority for real money and statutory reporting.

Questions cleaning-business owners ask

Is the Finance view the same as my bank balance?

No. It uses booking, payment and cleaner-pay records saved in the workspace; reconcile them with the bank and accounting records.

Does EcoBroom AI pay cleaners or run payroll?

No. It records actual hours, calculated gross pay and pay status. It does not move money or run PAYE, tax, National Insurance or pensions.

Are recurring forecasts guaranteed income or profit?

No. They are operational forecasts from active plans, saved prices, estimated hours and recorded rates. They exclude other business costs and do not guarantee collection.

Can invoices be automatic?

Yes. The owner can choose automatic creation after job completion. Automatic emailing is a separate optional setting; manual approval remains available.

Does marking an invoice paid prove the payment arrived?

No. It records the owner’s status. Check the real bank or payment provider before marking it paid.
