What an AI assistant for a cleaning business should do — and what it should never do alone

A useful operations assistant should answer from the company’s own records, show the source, prepare a safe next step and stop for the owner before anything consequential changes.

By and reviewed by the EcoBroom AI product team

The owner’s problem: the answer exists, but it is spread across the workspace

A customer is waiting while the owner checks tomorrow’s bookings, a cleaner’s availability, unpaid work and the latest quality issue in four different places. A generic chatbot can produce a confident sentence, but it cannot prove that the sentence matches this company’s records. The useful standard is higher: find the current record, show the evidence, say when nothing was found and keep the owner in control of the next action.

How should an owner judge an AI operations assistant?

Use this checklist before trusting any assistant with day-to-day cleaning operations. A quick answer is only useful when the owner can verify it and understand whether it is information, a draft or a proposed change.

  • Answers use the company’s current records, not a generic guess
  • Dates, booking references, names and money values stay exact
  • Every important answer links back to the source record
  • No result is reported honestly instead of being filled with invented detail
  • Drafts, proposals and completed actions are labelled differently
  • A consequential change waits for a deliberate owner approval

How the Live Mia owner workflow works

This evidence map reflects the current production Mia tools and public owner workflow. Willow & Shine Cleaning Ltd, Demo Cleaner A, Demo Property and WS-1042 are explicitly fictional demonstration data.

  1. 1The owner asks a plain-English question about tomorrow’s bookings, cleaner availability, unpaid work or recent quality problems.
  2. 2Mia uses the owner’s tenant-scoped booking, cleaner, invoice and quality tools; it does not ask the browser for a tenant ID.
  3. 3The answer preserves the dates, references, totals and record links returned by those tools. If there is no data, Mia must say so.
  4. 4The owner opens the linked booking, employee, invoice or quality record and checks the source before deciding what to do.
  5. 5Mia can prepare a WhatsApp or email draft from verified customer contact details, but it does not send the message. The owner reads and sends it.
  6. 6For a cleaner assignment, Mia creates a pending approval card. The booking changes only after the owner selects Approve action; Reject leaves it unchanged.

Mia is Live for these lookups, drafts and approved assignments

Live today: business summaries, bookings and customers, cleaner schedules and recorded availability, overdue invoices and unpaid bookings, existing quality results, customer-message drafts, and a cleaner-assignment proposal with Approve or Reject. Voice, creating a booking from a conversation and replying from the workspace are Coming soon. Mia cannot prove a person is suitable or truly available beyond the records, and it cannot replace the owner’s judgement.

What should Mia never decide alone?

The assistant can reduce searching and prepare the next step. It should not turn incomplete operational data into a decision about people, customers or money.

  • Do not make hiring, discipline or employment decisions from schedules, photos or quality scores
  • Do not treat recorded availability as proof that a cleaner has accepted the job
  • Do not send a customer message just because a draft exists
  • Do not change a booking or assignment without the required approval
  • Do not invent a customer, booking, cleaner, invoice, price or quality result
  • Do not present Voice or conversation-to-booking as available today

Questions cleaning-business owners ask

Is Mia a customer-facing chatbot?

No. Mia is an internal operations assistant for authenticated owners and administrators.

Does Mia answer from the internet?

Operational answers come from the company’s tenant-scoped EcoBroom AI records. It must say when the tools return no data.

Can Mia send WhatsApp messages or emails?

No. It prepares a draft with verified contact details; the owner reads it and sends it.

Can Mia assign a cleaner?

It can prepare a pending assignment. The booking changes only after the owner approves it.

Can another company see these records?

The current API takes tenant identity from the authenticated private proxy and scopes Mia’s records, permissions and audit history to that organization.
