Getting ready

Is your cleaning business ready for AI? A 10-point checklist for owners

AI is only as good as the records behind it. Ten checks on services, rates, properties, cleaners and photos to make before you rely on AI.

The short answer

AI tools work from the facts you give them. If your services, rates, property details and job records are scattered or out of date, AI will produce tidy drafts built on the wrong facts. Before you rely on AI, check ten things: a written service list, real rates, consistent property details, one place for enquiries, one record per customer, current cleaner records, actual hours, a photo standard, an area-by-area quality checklist and clear approval rules.

Why readiness matters more than the tool

An AI estimate is only as good as the rate and room counts behind it. An answer from an AI assistant is only as good as the bookings and invoices it reads. The work in this checklist is the work that makes any AI tool, ours or anyone else's, safe to use.

Most of it also makes your business easier to run without AI, so none of it is wasted if you decide AI is not for you yet.

The 10-point checklist

  1. 1Your services are written down. Regular, deep, end-of-tenancy, after-builders or office cleaning, each with what is included and what is not.
  2. 2You know your real rates. Hourly or base rate per service, minimum charge and anything you add for travel or parking.
  3. 3Property details are recorded the same way every time. Property type and real counts of bedrooms, bathrooms, separate WCs, kitchens and reception rooms.
  4. 4Enquiries arrive in as few places as possible. Ideally one business number and one booking link, not personal phones and three inboxes.
  5. 5Each customer has one record. Contact details, address, access and key notes, and preferences, kept in one place.
  6. 6Cleaner records are current. Availability, the areas they cover, skills such as oven cleaning, and contact details.
  7. 7Jobs record actual hours, not only booked hours. Actual hours are what make future estimates and pay accurate.
  8. 8You have a photo standard. The same angles before and after, good light, one wide shot and one close-up of each problem area.
  9. 9You have a quality checklist for each area. What "done" means for a kitchen, a bathroom or a fridge, written down.
  10. 10Everyone knows who approves what. Who can send a quote, change a booking, message a customer or confirm pay.

A rule of thumb for scoring yourself: with 8 to 10 in place you are ready to trial AI on real jobs. With 5 to 7, start with one task, such as quoting, while you fix the rest. With fewer than 5, tidy your records first. They will pay off either way.

How EcoBroom AI uses these records

Each point on the checklist feeds a specific part of the workspace:

  • The AI Quote Generator uses your service, your own rate, the property type, room counts, priority areas and up to five photos. See how to quote from property details and photos.
  • Quality review checks before-and-after photos area by area against a spot checklist, so your photo standard matters. See fairer quality reviews.
  • Mia answers from your bookings, cleaner schedules, invoices and quality results, and links to the record behind each answer. See what an AI assistant should do.
  • Approval rules are built in: Mia drafts messages and proposes cleaner assignments, and a person approves every action.

Common mistakes to avoid

  • Giving AI an old price list, then wondering why the estimates feel low.
  • Letting photos stand in for room counts. A room nobody photographed still needs cleaning.
  • Running the business from a personal WhatsApp, so customer history is mixed with family chats.
  • Recording booked hours as actual hours, which hides the jobs that always overrun.
  • Having no record of who approved a quote or a change, which makes disputes harder to settle.

The quickest first step

Write down your services and your real rates. It is usually the fastest item on the list, and it is the one AI quoting depends on most. Then follow our set-up guide, and read the practical guide to AI for UK cleaning businesses for a four-week trial plan.

Questions owners ask

Do I need to digitise everything before I start?

No. Start with your services and rates, then add customers and cleaners as jobs come in. A partial but accurate record is better than a complete one full of guesses.

What if my prices change from customer to customer?

Write down the rules behind the changes, such as a minimum charge, a surcharge for heavy limescale or a discount for weekly cleans. AI can then apply them consistently, and you adjust the final price where your judgement says so.

Do my cleaners need smartphones?

For before-and-after photo checks, yes, they need a phone with a camera. Everything else on this list is office work.

Is it safe to put customer details into an AI tool?

Check the provider's privacy policy first: where data is processed, whether it is used for training and how you get it back. EcoBroom AI does not use workspace data, photos or Mia conversations to train AI models; the details are in our privacy policy.

How long does it take to get ready?

It depends on how many services, customers and cleaners you have. Services and rates usually take the least time and make the most difference, so do those first.
