Cleaning business software with AI: what to look for before you switch

A buyer's checklist for cleaning-business software with AI: what to test in a trial, which claims to question, and how to keep your data.

Published 8 October 2026Reviewed by EcoBroom AI product teamEnglish

The short answer

Choose software that keeps the whole job in one record, from enquiry and quote to booking, cleaner, quality check, invoice and pay, and treat AI as a feature you test on your own jobs, not a promise. Check that every AI output can be reviewed before it reaches a customer, that features are clearly labelled as available today or coming later, that your data is not used to train AI models and can be exported, and that pricing stays clear as you add cleaners.

Start with the job, not the AI

AI features are only as useful as the records underneath them. If quotes live in one tool, bookings in another and cleaner pay in a spreadsheet, an AI assistant can only see part of the picture.

So the first question is not "how good is the AI?" but "does one record follow the job from start to finish?" Our guide to turning enquiries into checked bookings shows what that record should hold.

Eight questions to ask about any AI feature

  • Does it answer from my company's records, or give a general answer?
  • Can I see and edit everything before it reaches a customer or a cleaner?
  • What happens when information is missing? Does it ask, or guess?
  • Is the feature available today, or on a roadmap? Is that labelled clearly?
  • Is AI use limited or metered, and what happens when I reach the limit?
  • Does the provider, or any AI provider it uses, train models on my data?
  • Where is my data processed, and what safeguards apply?
  • Can I export my data if I leave?

How to run a fair trial

A demo shows the best case. A trial on your own work shows the real one. Use the same tests on every product you compare.

  1. 1Take ten recent enquiries you have already priced and run them through the quoting tool. Compare its estimates with what you actually charged.
  2. 2Run quality checks on a few completed jobs where you already know the outcome.
  3. 3Ask the AI assistant questions you already know the answers to, and check every number.
  4. 4Set up one real cleaner and one real recurring customer, and follow a job from booking to pay.
  5. 5Ask a second person in your business to try it without your help.
  6. 6Write down what you had to correct. The fewer corrections, the more time it will save.

What to check on pricing

  • Whether you pay per office user, per cleaner or a flat fee, and what happens as your team grows.
  • Which features are included in each plan, and which cost extra.
  • Whether AI features have monthly allowances, and the price of going over.
  • The trial: how long it lasts, whether it needs a card and what happens to your data at the end.
  • Notice periods, annual discounts and how easy it is to cancel.

Prices in this market change often, so check each provider's current pricing page rather than relying on comparison articles, including this one.

Red flags

  • "Fully autonomous" claims with no approval step for prices, messages or pay.
  • AI answers that never show where the information came from.
  • Features shown in a demo that are not available in your plan or not built yet.
  • No clear answer about training on your data.
  • No way to get your data out.

Where EcoBroom AI fits, and where it may not

EcoBroom AI is built for cleaning-company owners coordinating customers, recurring work, cleaners, pay, recruitment and quality. Bookings, quotes, recurring plans, cleaner pay, finance, recruitment and quality review sit in one private workspace, with Mia, the AI copilot, answering from those records.

Answers to the questions above, for us: the AI Quote Generator, quality review, Mia and the WhatsApp Business inbox are Live. A voice agent and WhatsApp enquiries that become booking drafts are Coming soon. A person approves every action Mia proposes, and each approval is recorded. We do not use workspace data, photos or Mia conversations to train AI models, and a business can ask for an export of its data. The privacy policy has the detail.

The trial is 30 days of the full workspace without a payment card. After it, paid plans start from £50 a month (Core) with 5 cleaners included, or you can continue on a limited free tier.

If you need a voice agent or replies sent from the workspace today, EcoBroom AI does not do that yet. We would rather say so here than in your second week.

Questions owners ask

Should I choose general field-service software or something built for cleaning?

General tools cover many trades, so cleaning-specific details such as room-by-room scope, end-of-tenancy checklists or before-and-after quality evidence may need workarounds. Cleaning-specific tools fit those details but may have fewer integrations. Run the same trial on both and see which needs fewer workarounds for your jobs.

Is AI worth paying extra for?

Only if it saves time on work you do every week. Test it on your own quotes and jobs during the trial and count the corrections before deciding.

How long should a software trial be?

Long enough to follow real jobs from enquiry to payment, including at least one recurring customer. A month is usually enough for that, which is why the EcoBroom AI trial is 30 days.

Can I move my data later?

Ask before you sign up how you would get your data out and in what form. With EcoBroom AI, a business can ask for an export of its data, including after it closes its account, within the retention period set out in our privacy policy.

Do I have to switch everything at once?

No. Many owners start new enquiries in the new system and move existing customers across as they rebook. Keep your old records until you are confident nothing is missing.
